Agency Cold Outreach Email Templates
Cold outreach is still one of the most effective ways for agencies to land new clients — when done right. The difference between cold emails that get responses and ones that get deleted comes down to three things: relevance, value, and brevity. Nobody wants to read a 500-word pitch from a stranger.
These templates are designed for agency owners reaching out to local businesses, SMBs, and potential white-label clients. Each one leads with value (something specific you noticed about their business), keeps it short (under 150 words), and includes a clear, low-friction CTA.
Customize the bracketed sections with genuine observations about each prospect. Generic cold emails don't work — personalized ones do.

The Audit Offer
Best for first touch. Offer a free audit of something visible (their website, Google listing, ads). Works because you're leading with value.
Subject: Quick question about [Business Name]'s online presence Hi [First Name], I was looking at [Business Name]'s Google listing and noticed [specific observation — e.g., "you only have 12 reviews while your top competitor has 87" or "your website isn't showing up for '[keyword]' in [City]"]. We help [type of business — e.g., "home service companies"] fix exactly this. I put together a quick audit showing what's costing you leads — would you want me to send it over? No strings attached. Even if we never work together, you'll walk away with actionable info. [Your Name] [Agency Name]
The Case Study Email
Use after the initial email or as an alternative first touch. Social proof from a similar business is powerful.
Subject: How [Similar Business] added [result] in [timeframe] Hi [First Name], We recently helped [Client Name/Type — e.g., "a plumbing company in Dallas"] go from [before metric] to [after metric] in [timeframe]. Here's the quick version of what we did: - [Tactic 1 — e.g., "Optimized their Google Business Profile"] - [Tactic 2 — e.g., "Set up automated review requests"] - [Tactic 3 — e.g., "Launched targeted Google Ads in their service area"] I think we could get similar results for [Business Name]. Would a 15-minute call this week be worth it to see if it's a fit? [Your Name] [Agency Name]
The Breakup Email
Send after 2-3 unreturned emails. The breakup approach often gets the highest response rate in a cold sequence.
Subject: Not a fit? Hi [First Name], I've reached out a couple of times and haven't heard back, which is totally fine — I know you're busy running [Business Name]. I'll stop emailing after this, but I did want to leave you with one thought: [one-sentence value statement — e.g., "the businesses in your area that are growing fastest right now are the ones with automated lead follow-up, and it's easier to set up than you think"]. If that's ever something you'd want to explore, my door's open. Best, [Your Name] [Agency Name]
Best Practices
- Research every prospect before emailing — mention something specific about their business
- Keep cold emails under 150 words — long emails from strangers don't get read
- Lead with value or insight, never with your services or credentials
- Send cold emails Tuesday through Thursday, 8-10 AM in the recipient's time zone
- Follow up 3-4 times before giving up — most responses come on the 2nd or 3rd email
- Track open rates and reply rates to refine your subject lines and messaging
