Rate Increase Email Templates

Raising your rates is one of the most important — and most nerve-wracking — things a freelancer can do. But here's the reality: if you haven't raised your rates in over a year, you've effectively given yourself a pay cut (thanks, inflation). And the clients who value your work will understand.

The key to a successful rate increase is communication. Give adequate notice (30-60 days), explain the reason (without over-apologizing), and reframe the conversation around the value you provide. Most freelancers lose clients not because of the increase, but because of how they communicate it.

These templates cover the three most common scenarios: a standard annual increase, a value-based increase after expanded scope, and a rate correction for significantly underpriced work.

Standard Annual Rate Increase

For a routine rate increase (5-15%) with existing clients. Professional and straightforward.

Subject: Update on rates for [Year]

Hi [Client Name],

I wanted to give you a heads-up about an update to my rates, effective [date — at least 30 days out].

Starting [date], my rate for [service type] will be [new rate — e.g., "$X/hour" or "$X/project" or "$X/month"]. This is up from [current rate].

This adjustment reflects [reason — e.g., "increased costs of doing business, continued investment in my skills, and the growing demand for the work we do together"].

I want to emphasize that the quality and dedication I bring to your projects won't change — if anything, I'll continue leveling up the work I deliver.

If you'd like to lock in [current rate] for any projects booked before [date], I'm happy to do that. Otherwise, the new rate will apply to all work starting [date].

Value-Based Increase (Expanded Scope)

When the scope of your work has grown beyond what you originally agreed to, and your rate should reflect that.

I've really enjoyed working on [project/ongoing work] with you. Over the past [timeframe], the scope of what I'm handling has grown quite a bit — which is great! It means the work is having an impact.

When we started, the work primarily included [original scope]. Now I'm also regularly [additional responsibilities — e.g., "managing the editorial calendar, coordinating with your design team, and handling analytics reporting"].

To reflect the expanded scope and value I'm delivering, I'd like to adjust my rate from [current rate] to [new rate], effective [date].

Alternatively, if you'd like to scale back to the original scope, I'm happy to keep the current rate. Either way works for me — I just want to make sure our arrangement reflects the work accurately.

Significant Rate Correction

When you realize you've been significantly undercharging and need a larger increase (20%+). Frame it around market alignment.

Best Practices

  • Give at least 30 days notice (60 for larger increases) — surprises damage trust
  • State the new rate clearly and confidently — don't apologize or over-explain
  • Offer a transition option (locked rate for prepaid work, phased increase) to soften the change
  • Time rate increases at natural transitions: new year, contract renewal, or scope change
  • Never raise rates for all clients at once — stagger to reduce risk
  • If a client leaves over a fair rate increase, they were going to leave anyway. Don't let that hold you back
