Follow-Up After Meeting Templates
The follow-up after a meeting is where most freelancers drop the ball. You had a great conversation, exchanged cards, and then... nothing. No follow-up, no next steps, no momentum. A timely, thoughtful follow-up email is what separates freelancers who "network" from those who actually land clients.
These templates cover the three most common post-meeting scenarios: following up after a potential client meeting, after a networking event or coffee chat, and after a referral introduction. Each one is designed to be sent within 24 hours while the conversation is fresh.
The key principle: every follow-up should reference something specific from your conversation and include a clear next step.

After a Potential Client Meeting
Send within 2-4 hours of a meeting with someone who expressed interest in hiring you. Recap and propose next steps.
Subject: Great chatting today — recap + next steps Hi [Name], Really enjoyed our conversation today about [specific topic discussed]. I'm excited about the possibility of helping [Business Name] with [their goal — e.g., "refreshing your brand identity"]. A few things that stood out to me: • [Key point or challenge they mentioned] • [Idea you discussed for solving it] • [Something you were both aligned on] As a next step, I'd love to put together a proposal based on what we discussed. After a Networking Event or Coffee Chat
For new connections you met at an event or over coffee. Low pressure — just build the relationship.
Subject: Great meeting you at [Event/Location] Hi [Name], It was really nice meeting you [at the event / over coffee] yesterday. I enjoyed hearing about [something specific they shared — e.g., "your journey scaling the agency to 15 clients"]. I've been thinking about what you mentioned regarding [topic] and wanted to share [a relevant resource, article, or insight — e.g., "this article on client retention that I think you'd find useful: [link]"]. After a Referral Introduction
When someone introduces you to a potential client. Acknowledge the referral and transition smoothly.
Subject: [Referrer Name] suggested we connect Hi [Name], [Referrer Name] mentioned that you might be looking for help with [service], and I'd love to learn more about what you need. A little about me: I'm a freelance [title] specializing in [specialty] for [type of client]. [One-line credibility — e.g., "I recently helped [similar company] achieve [result]."] I'd be happy to hop on a quick 15-minute call to hear about your project and see if I can help. Best Practices
- Send follow-up emails within 24 hours — ideally within 2-4 hours of the meeting
- Reference something specific from the conversation to show you were paying attention
- For potential clients, always propose a clear next step (proposal, call, etc.)
- For networking contacts, offer value (a resource, an introduction, insight) before asking for anything
- Keep follow-ups short — 5-8 sentences max
- Add new contacts to your CRM and set a reminder to check in again in 30 days
