New Coaching Client Welcome Email Sequence
The first 48 hours after a new client signs up for coaching are the most important for setting the tone of the relationship. A well-crafted welcome sequence does three things: confirms they made the right decision, sets clear expectations for what happens next, and gets them excited about the transformation ahead.
These templates cover a 3-email welcome sequence that you can automate in your CRM or email tool. Each email has a specific purpose and is timed to land at the right moment. Together, they reduce buyer's remorse, minimize support questions, and create a professional first impression.
Customize the bracketed sections for your specific coaching program, but keep the structure and timing as-is — they're designed for maximum impact.
Templates
Welcome Email #1 (Immediately After Purchase)
Send instantly after payment. Confirm the purchase, express excitement, and set expectations for what happens next.
Subject: Welcome to [Program Name] — here's what happens next Hi [First Name], Welcome! I'm thrilled to have you on board. You just made a great decision investing in [yourself / your business / your growth], and I want to make sure you get the most out of our work together. Here's what happens next: 1. You'll receive a Client Intake Form within the next few minutes (check your inbox). Please fill this out before our first session — it helps me prepare to make our time together as valuable as possible. 2. Book your first session here: [Booking Link]. I recommend scheduling within the next 7 days while your motivation is high. 3. Join our [community/Slack/group — if applicable]: [Link]. This is where you'll connect with other clients and get support between sessions. If you have any questions before our first call, just reply to this email. I'm looking forward to working with you! [Your Name] [Your Title / Business Name]
Welcome Email #2 (Day 1 — Preparation)
Send 24 hours after purchase. Help them prepare for the first session and build anticipation.
Subject: How to prepare for your first session Hi [First Name], Tomorrow marks one day since you joined [Program Name], and I wanted to help you prepare to hit the ground running. Before your first session, here are 3 things to think about: 1. What's the ONE outcome that would make this investment worth 10x what you paid? Write it down. 2. What have you already tried that hasn't worked? (Don't worry — we'll figure out why and fix it.) 3. What does your ideal [week / business / client roster / income] look like 90 days from now? You don't need to have perfect answers. Just having these ideas in mind will make our first conversation much more productive. Quick reminder: If you haven't yet, please complete the intake form I sent yesterday: [Link] See you soon, [Your Name]
Welcome Email #3 (Day 3 — Social Proof & Motivation)
Send on day 3. Share a client success story to reinforce their decision and build excitement.
Subject: What [Client Name] achieved in [timeframe] Hi [First Name], I wanted to share a quick story about [Client Name/Description], who was in a similar situation to where you are right now. When [he/she/they] started, [brief description of their starting point — e.g., "they were juggling 6 different tools, spending 15+ hours a week on admin, and hadn't taken a vacation in 2 years"]. Within [timeframe — e.g., "90 days"], [he/she/they] [specific result — e.g., "consolidated everything into one system, cut admin time to 3 hours/week, and took a 2-week trip to Portugal — while their business ran on autopilot"]. Here's what [he/she/they] said: "[Short testimonial quote]" I share this because the same transformation is absolutely possible for you. It starts with the work we'll do together in your first session. If you haven't booked your first session yet, grab a spot here: [Booking Link] Excited for what's ahead, [Your Name]
Best Practices
- Automate this sequence so it fires the moment payment is received — no manual sending
- The first email must arrive within 5 minutes of purchase to confirm and reduce buyer's remorse
- Include the intake form link in the first email — the sooner they fill it out, the better your first session will be
- The day 3 success story email is optional but highly effective at keeping excitement high
- Personalize the subject lines with their first name for higher open rates
- Keep each email focused on ONE thing — don't overwhelm new clients with information
